A WhatsApp shared team inbox, without sharing a phone

A shared team inbox is one place where several agents answer the same WhatsApp numbers, each with their own login. Instead of passing a handset around, the numbers are connected to a server, staff are invited into a workspace, and each agent is assigned the accounts they are responsible for — so two people can work the same number at the same time and every reply is recorded against the person who sent it.

What the team actually gets

Workspaces hold the numbers

A workspace owns its WhatsApp accounts and its staff. People join with an invite code, and an admin decides who is in it. Nothing is shared across workspaces by accident — a number belongs to exactly one.

Members see only their accounts

An admin sees every account in the workspace. A member sees only the ones assigned to them, and the restriction is enforced on the server for every request and every realtime subscription, not hidden in the interface.

Every reply has a name on it

Each stored message records the staff member who sent it. That is what makes response-time reporting, per-agent stats and after-the-fact audit possible at all.

Canned replies and a name book

Message templates are shared within the workspace, and the contact name book gives a person one name across every number that talks to them — so a customer is not 'the +234 guy' on one screen and something else on another.

Two-factor on staff accounts

Staff sign in with their own credentials and can enrol a TOTP authenticator app. Access ends when the account is disabled, not when a shared password eventually gets changed.

Groups, media and voice notes

Group conversations show who actually spoke, and images, documents, voice notes and locations are handled in the console rather than pushed back to somebody's phone.

Each rep works their own line, the manager sees all of them, and a customer who messages a different number is still the same customer.

A shift hands over without handing over a phone. The next agent opens the same conversation with the full history already in front of them.
